Terms & Conditions


  1. Booking fee: Telephone reservations can be made but only held for a period of five days by which time we must receive written confirmation and deposit. A booking deposit of £200 per week is payable at the time of making a reservation. This is not refundable and shall be deducted from the hire charge. In all cases confirmation of booking will be posted to you with an invoice in respect of the balance of the hire charge and the insurance excess deposit. The sum due on this invoice must be paid in full at least 6 weeks prior to commencement of hire. If booking commences less than 6 weeks after date of reservation then payment in full is due at time of booking.

  2. Cancellation fee: All cancellations must be in writing. All deposits paid and monies paid within 6 weeks of the commencement of the hire are not refundable under any circumstances except the insurance excess/damage bond which is refundable provided that no other sums are unpaid by way of deposit or otherwise. Almond Valley Motorhome Hire reserves the right to cancel the hire if, at the commencement of the hire the drivers licences are invalid or fail to comply with the conditions set out below. In these circumstances the total hire charge will be forfeited. Hirers are strongly advised to insure against unavoidable cancellation.  

  3. Drivers: All drivers must be over 25 and under 70 years of age and have held a full UK driving license for at least one year prior to commencement of the hire. A valid driving license for each named driver must be produced at the time of collection of the vehicle; such license(s) must not disclose any current endorsements (except for speeding and parking offences). Each named driver shall complete an insurance proposal form. Visitors not holding a UK Driving license must produce a valid license entitling them to drive in the UK or a current International Driving Permit. Proof of identity and address must be produced for each named driver prior to the beginning of the hire.

  4. A security deposit of £750 is payable 6 weeks prior to departure. If the booking commences less than 6 weeks after the date of reservation then payment in full is due at the time of booking. This deposit covers the insurance excess and any other failure by the hirer to follow the terms and conditions as set out in this agreement. The security bond is usually refunded 7 - 10 after the vehicle has been returned minus any charges due after inspection of the vehicle.

  5. Insurance: Any vehicle hired under this agreement may only be driven by the hirer and any other named driver(s) who have accepted the terms and conditions of Almond Valley Motorhome Hire and our insurance company. This agreement is subject to and is deemed to include the terms, conditions, and limitations of our insurance policy, a copy of which may be inspected on request. Even though it may be covered by our insurance policy, the hirer shall be liable for the cost of repairing any damage which the vehicle may suffer as the result of any act or neglect on the part of the hirer or any passenger in the vehicle. The following items are excluded from our insurance cover:-

    • Windscreen and all other glass

    • Loss/damage/theft to the radio, stereo equipment and aerials

    • Interior damage including; burns to seats, carpets, and other damage

    • Damage or theft of any items provided by Almond Valley Motorhome Hire for use during the hire. A full list of items will be included on the pre departure inventory.

    • Vandalism and malicious damage of any kind to the vehicle

    • Personal effects within or from the vehicle

    • Overhead damage resulting from any incident (Please note that overhead damage is defined from ground to in excess 6ft height from the ground).

    • Tyres.



  6. The hirer agrees that he or she:

    • Shall not carry more passengers than the seating capacity of the vehicle or allow the vehicle to be overloaded

    • Will not allow smoking in the vehicle.

    • Shall not use the vehicle for carrying passengers or goods for hire or reward

    • Understands that he/she is responsible for any fines (including parking fines) which may be incurred during the hire period.

    • Shall not, without consent from Almond Valley Motorhome Hire, remove the vehicle out of the UK mainland.

    • With prior written approval the hirer may use the vehicle in countries within the European Economic Union (EEC). Use of the vehicle in countries out with the EEC may be possible with the prior written agreement of Almond Valley Motorhome Hire. .An additional insurance premium shall require to be paid by the hirer before beginning any journey out with the UK mainland. The hirer may not travel in war or disaster zones.

    • Should be the subject of a separate agreement.



  7. Collection and Return: Vehicle hire is from Friday to Friday (unless otherwise agreed) and vehicles are available for collection between 2.00 and 6.00p.m. The vehicle must be returned between 8.30 and 12.00am unless otherwise agreed in writing. Failing to comply with these times will result in the Hirer being surcharged at the rate of £50 per hour or any part thereof. (First 3 hours) and balance of deposit thereafter together with any additional costs incurred by Almond Valley Motorhome Hire. The vehicle will have a full tank of fuel at the start of hire. The vehicle must be returned with a full tank of fuel. Failure to so will result in a charge of £25 plus the cost to refill the tank. No refund is given for an early return of the vehicle. The Hirer acknowledges delivery of the vehicle and the contents free from any defect or damage and complete other than as specified by Almond Valley Motorhome Hire at the date of commencement of hire and is therefore advised to check the vehicle thoroughly before leaving Almond Valley Motorhome Hire's premises. Upon return Almond Valley Motorhome Hire's representative will check the vehicle for damage, cleanliness, etc., including the condition of the tyres and windscreen which is not included in Almond Valley Motorhome Hire's insurance cover, any such damage is the Hirer's responsibility. Almond Valley Motorhome Hire’s representative will also check the items on the inventory to ensure all items are present and will check the condition. Any defects will be charge to the hirer.

  8. Smoking: We operate a No Smoking policy on our vehicles. A charge of £250.00 will be levied against the hirer in the event of evidence of smoking.

  9. Animals: No animals, other than guide dogs, are allowed in the vehicle. Exceptions may be possible and should be discussed at the time of booking. If approved an additional charge for valet of £75.00 will be charged.

  10. Parking: The hire may at his or her own risk leave their vehicle (max 1 per party) at the pick up location for the period of the hire.

  11. Breakdown: In the unlikely event of a breakdown an emergency service is at the disposal of the Hirer. The Hirer is authorized to spend up to £50 on repairs, which will be repaid on the submission of a valid VAT receipt. Prior Almond Valley Motorhome Hire approval must be obtained in respect of repairs/replacements in excess of £50. Almond Valley Motorhome Hire is not under any circumstances responsible for damage in connection with or consequent upon any accident or breakdown. Additionally the vehicle is covered by the AA Roadside, Relay and Home-start cover. Membership details will be left in the vehicle for use in the case of emergency.

  12. Vehicle Maintenance:

    • The Hirer will be liable for all loss and damage incurred if the incorrect fuel type is used.

    • The Hirer is responsible for the regular checking of oil and water levels and the use of the correct type of fluids.

    • Gas cylinders are provided at the time of hire; at least one will be full of gas. The cost of any refills thereafter shall be the responsibility of the Hirer who shall ensure that 2 bottles of the same size as taken out are returned with the vehicle. Failure to return the correct number and size of bottles will result in a charge of £30 plus VAT per bottle missing.

    • Un-emptied toilets and waste water tanks will incur an additional charge of £50.00.

    • Vehicles returned unfit for the next lease will incur a valet charge of £75.00.

    • A charge of £250.00 will be charged if there is evidence of smoking in the vehicle.

    • An additional valet charge of £75.00 will be charged if we suspect or have agreed prior to the start of the lease that animals have been stored in the vehicle. The hirer agrees that these charges will be deducted from deposit held by Almond Valley Motorhome Hire.



  13. Availability: Whilst every effort is made to ensure that the vehicle reserved is available, if due to circumstances beyond our control the reserved vehicle is not available we reserve the right to offer a suitable alternative. If this is not available or acceptable the liability of Almond Valley Motorhome Hire will be limited to the refund of any monies paid by the Hirer.

  14. The hirer agrees that by entering into this agreement they use the vehicle at their own risk and that Almond Valley Motorhome hire have no liability for any loss, injury or damage sustained.

  15. This agreement is governed by and construed in accordance with the Laws of Scotland. All disputes arising out of or in connection with the agreement shall be subject to the exclusive jurisdiction of the Scottish Court.
